Organisation, settings, and access in EliaFlow
This page explains how EliaFlow is organised: stores, website, admin themes, activatable modules, and user permissions.
Read it right after the guide home.
EliaFlow for every type of business
EliaFlow is not limited to aesthetic clinics or salons.
It adapts to any business that sells, according to its needs:
| Offering | Example activities |
|---|---|
| Services (category → service → sub-service) | Consulting, repair, coaching, wellness, hairdressing, clinic, home visits… |
| Products (category → product → variant) | Retail shop, chocolate shop, takeaway catering, cosmetics, equipment… |
| Trainings | School, workshops, certifications, paid sessions… |
You enable only the modules you need (services and/or products and/or trainings, appointments, online shop, etc.) via Module control.
The guide uses the word services (not “treatments”) to stay neutral: a “sub-service” is simply the sellable / bookable offering, whatever your trade.
One store = one data universe
Each store (shop, workshop, practice, restaurant, school…) has its own data:
| Domain | Unique per store |
|---|---|
| Customers | Yes |
| Services / sub-services | Yes (if the services catalogue module is active) |
| Products / variants | Yes (if the products catalogue module is active) |
| Trainings | Yes (if the trainings module is active) |
| Invoices | Yes |
| Appointments | Yes (if the appointments module is active) |
| Online orders | Yes (if the orders module is active) |
| Company and site settings | Yes |
An EliaFlow owner can manage several stores at once. When you switch stores in the selector at the top of the admin, you only work with that store’s data — without mixing catalogues or invoices.

Master view — see all stores at once
In addition to “business” stores, EliaFlow offers a Master (global) view.
| Who | What Master allows |
|---|---|
| Authorised profiles (often ultraadmin / superadmin depending on config) | View statistics and lists for all stores at once |
| Create / edit | Done by choosing which store you create for (Master is not a sales store) |
Useful for a multi-shop owner who wants an overview, while keeping each store isolated day to day.
Business timezone (TIMEZONE)
Appointment times (list, calendar, emails, SMS, admin notifications, customer stats, “today” filters) are shown in the server’s configured timezone:
| Setting | Typical Québec value |
|---|---|
Environment variable TIMEZONE |
America/Toronto |
In the database, instants stay in UTC (expected). What you see on screen and in messages is always converted to TIMEZONE.
Without this variable, EliaFlow falls back to America/Toronto. Production (Forge / Docker) should set TIMEZONE explicitly.
Ops detail: Deploy RSVP / TIMEZONE.
The website is tied to a store
Each online showcase is linked to a store.
The site displays the catalogue, hours, logos, and pages of that store.
Showcase technology (Next.js)
EliaFlow sites are built mainly with Next.js:
- better for search engine optimisation (SEO);
- fast pages suited to the modern web;
- a dedicated showcase per brand / store.
Site design — customised by the owner
The business owner customises appearance and content via Settings Website (and Settings Entreprise):
- enable / hide pages (Home, Shop, Services, Gallery, Contact…);
- FR / EN texts, images, sections;
- hours, logos, contact details;
- online order and booking options.
Result: each store has a site in its own image, without sharing another store’s design.
Practical details: Settings Website · Showcase website
When an order is placed on the showcase site
As soon as a customer confirms an order on the store’s showcase, EliaFlow automatically follows up on the admin side — with no manual re-entry.
flowchart LR site[Showcase_website] cust[Customer_created_or_matched] order[Order] inv[Invoice_if_payment] cal[Delivery_calendar] site --> cust site --> order order --> inv order --> cal
| Step | What happens |
|---|---|
| Customer | If they do not exist yet for this store → a customer record is created automatically. |
| Identity | If they already exist → EliaFlow finds them mainly via email and phone number (identity criteria). |
| Update | Customer info is updated (e.g. delivery / billing address) and the order history grows. |
| Invoice | An invoice is created automatically, with payment details, when payment is made on the showcase via Stripe or PayPal. |
| Delivery | If a delivery (or scheduled pickup) is planned → the delivery calendar is updated, so the EliaFlow team can see at a glance the workload for a specific date. |
So store staff find in the admin: the customer, the order, the invoice (if paid online), and the prep / delivery schedule — all aligned with what happened on the site.

Admin theme (management area)
The admin (back office) also has a design theme per store / brand.
| Who | Action |
|---|---|
| Ultraadmin | Manages the themes already in EliaFlow and can adapt them (colours, admin visual identity) for each brand / store |
| Store users | Work in the admin with the theme assigned to their store |
Admin theme ≠ public site design:
- site = customer-facing showcase (Next.js + Settings Website);
- admin = staff work screens (EliaFlow themes).
Admin menu customised per store
Each store can show a custom menu (sidebar) and menu groups, matching the business needs and EliaFlow users’ comfort.
| What | Why |
|---|---|
| Menu groups | Rename, create, reorder (e.g. put “Invoices” and “Customers” at the top if that is the core of the work) |
| Menu entries | Move between groups, hide / show, change display order |
| Per store | Store A ≠ store B: each store has its layout |
Goal: match the store workflow (what you use most first), improve sidebar readability, and day-to-day comfort.
Where to set it: Settings Entreprise → Menu management (if the feature is enabled for the store).
You can import the current menu, drag and drop groups and entries, enable “Use custom menu”, or reset to the default Filament menu.
Without an active custom menu: the standard EliaFlow navigation is shown.
Details: Menu management.
Sidebar behaviour (comfort)
| Behaviour | Detail |
|---|---|
| One open group | When you expand the sidebar (minimize → wide), only the current page’s group stays open; other groups collapse. |
| Pin star | The pin icon sits after the title / breadcrumbs, on the same line. |
| Titles | Page titles and breadcrumbs share the same style (size / weight) on lists and custom pages. |
Lists and tables (comfort)
On lists and related-record tables (relation managers):
| Behaviour | Detail |
|---|---|
| Search (magnifier) | At rest, only the magnifier is shown. A click opens the field (animation). If there is text, the field stays open. As soon as you clear the text, it collapses. |
| 3-character minimum | Search only filters once you type 3 characters. |
| Case | In general, marie and MARIE match the same rows (see each list for specifics). |
| Filters | The filter icon sits beside the columns toggle. The open panel appears above, using the theme background. |
| More actions | Import / Excel–PDF export and secondary actions live under More actions. New and Connected pages stay outside the group. |
Ultraadmin and Module control
Only the ultraadmin has access to Platform administration → Module control.
They decide, store by store, which families of features are on or off.
If a module is off: the menu disappears for that store, even for a local admin.
Modules / features the ultraadmin can enable or disable
| # | Feature | Effect if disabled (idea) |
|---|---|---|
| 1 | Services catalogue (category, service, sub-service) | No service management / related impacts |
| 2 | Products catalogue (category, product, variant) | No product shop management |
| 3 | Units of measure | No dedicated units screen |
| 4 | Product formats | No formats screen |
| 5 | Customer images | No customer images menu |
| 6 | Gallery (site / publication) | No public gallery / related marketing publication |
| 7 | Households | No household management |
| 8 | Gift certificates | No gift cards (catalogue, sales, site) |
| 9 | Trainings | No trainings (admin / informative site; billing not yet) |
| 10 | Statistics | No Statistics group |
| 11 | Online orders | No web orders / related settings |
| 12 | Appointments | No agenda / calendar / appointment settings |
| 12b | Client forms (under Appointments) | No intake/consent designer / pre-appointment send |
| 13 | Online payment | No configurable showcase payment |
| 14 | Partners | No partners / partner invoices |
| 15 | Service reminder | No follow-ups after a service |
| 16 | Product composition | No bundles / choice groups / composition |
| 17 | Bulk actions | No dedicated imports / bulk actions |
| 18 | Settings | No generic settings CRUD |
| 19 | Menu management (admin sidebar) | No admin menu customisation |
| 20 | Booking Square | No related Square sync |
| 21 | Booking EliaFlow | No public EliaFlow booking |
| 22 | Email notifications (appointments) | No automatic appointment emails |
| 23 | SMS notifications (appointments) | No automatic appointment SMS |
| 24 | Potential customer duplicates | No duplicates screen |
| 25 | Rooms | No room management |
| 26 | Staff positions | No job titles |
| 27 | Staff | Strong impact on staff / service links |
These switches are the first gate: without a module on, the feature does not exist for the store.
Roles and permissions — second gate
Even with a module on, each user only sees what their role allows.
| Who | Action |
|---|---|
| Store owner / admin | Creates roles per store and ticks permissions (view, create, edit, delete…) |
| User | Can open / edit only authorised features |
Core principle
All EliaFlow features (menus, lists, create / edit / delete buttons, exports…) are protected by permissions.
Concrete examples:
- a receptionist can manage appointments and customers, without access to statistics;
- an employee only sees their own agenda;
- a store admin manages the catalogue and invoices, without touching Module control (ultraadmin only).
Both conditions apply together:
- module enabled for the store (ultraadmin);
- permission granted in the role (owner / admin).

Success criteria
- I understand that EliaFlow serves services and/or products and/or trainings, not only clinics.
- I understand that a site = a store, with design set in Settings Website.
- I know that a showcase order creates / matches the customer, the invoice (Stripe/PayPal), and updates the delivery calendar.
- I know the showcase is designed in Next.js for SEO and performance.
- I distinguish admin theme (ultraadmin) from site design (owner via settings).
- I can customise admin groups and menus per store for workflow / readability.
- On a list, I can open search via the magnifier (3-character min.) and find More actions.
- I know that only the ultraadmin manages Module control (list above).
- I can manage several stores without mixing invoices / catalogues.
- Master view lets me see everything when I have access.
- Roles properly limit what each user sees and edits.
