Customers

Menu Customers and sales → Customers.

The list page is for finding, filtering, exporting, and following the store’s customers.
The individual record details one customer and their personal statistics.

On some lists (including Customers), shortcuts to related screens are grouped under Connected pages (header action group).

Customer statistics (Statistics menu)

Aggregated indicators (return rate, new customers, gender breakdown, average age, trend chart) live under Statistics → Customer statistics, not at the top of the list.

Visible only if your role has Customer statistics permission (view_statistic_customer). A header link on the customer list opens that page.

Documentation: Customer statistics.

List filters

Click the table magnifier to open search (minimum 3 characters). It covers first name, last name, email, phone. Case does not matter.

Excel–PDF import / export live under More actions. New and Connected pages stay outside the group.

Available filters (some appear only if the module / feature is active):

Filter Use
Filter by service point Master view: limit to one store (or all)
Sort table E.g. most recent, invoice count, appointment count (total, accepted, cancelled by customer / seller, declined, no-show) — depending on Invoices / Appointments modules
Duplicate Only potential duplicates (if duplicates feature active)
Household A specific household, with household, or without household (if households active)
Synced in Booking Yes / No (if booking integration active)
Marketing accepted Yes / No (if marketing active)
Language French / English
Gender Male / Female / Other

Combine search + filters to prepare an export or a marketing check.

Export the list (Excel or PDF)

You can download the list as Excel or PDF (all filtered rows, or a selection):

  • Export all rows / Export Excel
  • Export all rows (PDF) / Export PDF

Before download, you tick the columns to include or not, from a predefined list (e.g. first name, last name, email, phone, language, gender, marketing, household, address, city, postal code, dates…).

So each EliaFlow user exports only what they need (light file for accounting, or full file for a mailing).

Customer record — content

A customer record typically includes:

  • Identity and contact details
  • Optional link to a household
  • Appointment history
  • Invoice history
  • Online orders
  • Images (if the images module is active)
  • Document folders — structure defined once for the store
  • Site account access (if the customer signed up online)

Statistics for this customer (record)

On the record (view / edit), a Profile statistics section summarises this customer — visible depending on your permissions (invoices, appointments, orders):

Block Example info
Invoices Total; paid, partially paid, unpaid, cancelled, refunded (+ amounts)
Appointments Accepted, cancelled (seller / customer), declined, no-shows, possibly pending; last and next appointment
Online orders Received, in progress, delivered, cancelled; last / next depending on the store

Record tabs (Invoices, Appointments, Orders…) also show a counter to jump quickly to detail.

Document folders — set once for the whole store

In Settings Entreprise → Customer info folders, the owner / admin defines the store’s folder list, for example:

  • General information
  • Prescriptions
  • Consents
  • (and others depending on your trade)

This setting fixes the template: names (FR/EN), icons, order, active or not.

Core idea: it is not created customer by customer.
The structure chosen for the business applies to all customers of the store.

Where What you see
Settings Entreprise You create / order folders (e.g. General, Prescriptions, Consents).
Each customer record Exactly the same structure: every customer has General, Prescriptions, Consents folders (etc.).
File contents Uploaded PDFs / images remain specific to that customer — only the folder structure is shared.

Rule Explanation
One setting → all customers Once the store has defined its folders, every customer record shows them.
Per store Store A and store B can have different lists.
Individual files Adding a document for customer A does not put it on customer B.
Delete a folder type Impossible while it still contains customer files.

Where to configure: Customer info folders.

Important rules

Rule Explanation

Success criteria

  • With customer stats permission, I reach Statistics → Customer statistics (or via the list header link).
  • Without that permission, the stats menu entry and list link are hidden.
  • I use filters (language, gender, household, marketing, etc.) suited to my store.
  • I export to Excel or PDF choosing columns.
  • On a record, I see invoice / appointment / order stats for that customer (depending on rights).
  • I create a customer and find them in the store list.
  • Folders (e.g. General, Prescriptions, Consents) defined in Settings Entreprise appear identical on all customer records.
  • A file uploaded for one customer does not appear for another.
