Calendar
Menu Appointments → Calendar (short sidebar label; distinct from the Appointments list).
Admin calendar view, customizable per store according to the team’s workflow.
Display / overlap settings are mainly under Company Settings → calendar settings (and options related to rooms / staff). See Calendar settings.
Month / week / day views
The active view button (e.g. Week) shows white text in light mode so it stays readable on the theme primary background.
Customization per store
Each store configures its appointment system:
| Option | Example |
|---|---|
| Staff | Work with 1 or several employees in the calendar |
| Rooms | Enable or not room management linked to booking |
| Calendar view | Display by staff and/or by room |
So a single-practitioner salon and a multi-room clinic do not share the same calendar layout.
Appointment overlap (admin only)
In the admin calendar, the store can allow or disallow:
- overlap for the same staff, and/or
- overlap for the same room.
| Area | Behaviour |
|---|---|
| Admin (calendar / forms) | If the options are enabled, two appointments can overlap on the same staff or the same room |
| Website (online booking) | Never accepts overlap — the client cannot book a slot that is already taken |
The website stays strict; the admin can be more flexible depending on store policy.
Staff events (unavailabilities)
On the calendar, you can create a staff event (custom unavailability) in addition to an appointment.
Note: the Staff → Unavailabilities menu page is temporarily hidden. Create and manage these ranges from the calendar (staff events).
These events are treated as staff unavailabilities:
| Area | Effect |
|---|---|
| Storefront (booking) | The slot is blocked: the client cannot book that staff on that range |
| Admin | Also blocked if the store does not allow overlap for the same staff; if staff overlap is allowed, the admin can be more flexible |
Appearance on the calendar
| Element | Display |
|---|---|
| Background | Grey |
| Border | Staff colour (avatar / employee colour) |
| Title | Often prefixed (e.g. unavailability symbol) + event name |
So you can tell at a glance a client appointment from a “staff unavailable” block.
Pending appointments — visual cue
Pending appointments (often from the website, to accept or decline) are highlighted on the calendar:
| Element | Display |
|---|---|
| Background | Transparent |
| Border | Blue |
The team can easily spot requests to accept or decline, without confusing them with already accepted appointments.
Move or resize an appointment (drag and drop)
With permission to update an appointment, you can move a slot (change time and/or day) or change its duration directly on the calendar.
| Rule | Behaviour |
|---|---|
| Same staff | The appointment can only be dropped in a column for the same employee. Other staff columns are dimmed while dragging. |
| Day + time | You can change day and time, as long as the staff stays the same. |
| Staff event | Unavailabilities move / resize the same way (dedicated confirmation). |
Step 1 — Confirm the slot
After the drop, a modal opens with before / after:
| Button | Effect |
|---|---|
| Confirm changes | Goes to the next step (client notification, then save). |
| Cancel changes | Closes the modal without saving; the appointment returns to its original slot. |
If the appointment is linked to a paid invoice, the modal may remind you that only the time (not the date) can change, per invoice rules.
Step 2 — Notify the client (or not)
After Confirm changes, if a client notification is possible (email and/or SMS depending on store modules and client contact details), the same modal as on the appointment form appears:
| Button | Effect |
|---|---|
| Save and send | Saves the new slot and sends the reschedule notification to the client. |
| Save without notifying | Saves the slot without sending a notification. |
| Cancel | Abandons the whole move (same as “Cancel changes”). |
If no channel is available, save may proceed without this second modal.
See also: Editing an appointment and notifications.
Client confirmation (RSVP) — when the module is enabled
If the Client confirmation (reminders) feature is ON for the store (Module Control → Appointments.ClientRsvp):
- each SMS/email reminder offers Confirm and Decline;
- on the appointment form and calendar, a badge shows: Not confirmed / Confirmed (client) / Declined (client);
- Decline cancels the appointment (customer cancellation);
- this is separate from clinic decline (
Declinedby the store).
If the feature is OFF, reminders keep only “manage / cancel” and no RSVP badge is shown.
Calendar display (times and grid)
An event can be recurring (repeat over time), generally for an unavailability on one day at a time.
| Recurrence type (examples) | Idea |
|---|---|
| Every [weekday] | E.g. every Monday, every X weeks |
| Every [Nth] [day] of the month | E.g. every 2nd Tuesday of the month |
| Every month on the [day] | E.g. every month on the 15th |
You choose the interval (every X weeks / months) and the number of occurrences (within a future-months limit).
Deleting an event from a series
If the event is part of a series, on delete (or sometimes on edit) you choose the scope:
| Option | Effect |
|---|---|
| This occurrence | Deletes only the chosen slot |
| This occurrence and following | Deletes from this one toward the future |
| Entire series (future only) | Deletes future occurrences of the series (the past that already happened is generally not erased) |
See also: Unavailabilities.
Calendar display (times and grid)
You customize the admin calendar window and step, for example:
| Setting | Examples |
|---|---|
| Display start time | From 8:00 |
| Display end time | Until 17:00, or until 23:00 |
| Slot step | Every 15 min, 30 min, 1 h (or 10 min depending on options) |
This improves readability: only the store’s useful range is shown.
Appointment colours (display rule)
An appointment’s background colour on the calendar follows this priority order:
| Priority | Situation | Colour |
|---|---|---|
| 1 | Cancelled appointment | “Cancelled” colour (calendar settings) |
| 2 | Declined appointment | “Declined” colour (calendar settings) |
| 3 | No-show appointment | “No-show” colour (calendar settings) |
| 4 | The service has a category with a colour | Background = category colour of the first linked service |
| 5 | No category colour | Based on the appointment flow status (see below) |
Flow status (when there is no category colour)
| Flow | Colour on the calendar |
|---|---|
| In room | Blue |
| Completed | Green |
| Other (e.g. ready to start) | Default “no room / no category” colour (calendar settings) |
Example: a green appointment usually means it is completed and no category colour applies. Pink / blue / other tints most often come from the service category.
Special cases
| Case | Display |
|---|---|
| Pending appointment | Transparent background; text / accent uses the colour that would have been the background (see also the pending section above) |
| Staff | Staff colour / avatar for quick recognition (column header, badge), separate from the appointment background |
| Staff unavailability | Grey background, staff-colour border (see staff events section) |
Cancelled / declined / no-show / default colours are set under Company Settings → calendar settings.
Show or hide certain appointments
In the calendar, you can include or exclude:
- cancelled appointments
- absent (no-show) appointments
- declined appointments
Useful for an “active day” view (without cancellation noise) or a full view for follow-up.
Views: by staff or by room
The calendar can display:
- by staff — staff columns / resources
- and/or by room — room resources
depending on what the store uses day to day.
Success criteria
- I find the menu under the short label Calendar.
- The active view (month / week / day) stays readable (light text on the active button).
- Pending appointments are visible (transparent background, blue border) to accept / decline.
- I create a staff event (unavailability) visible in grey + staff-colour border.
- A recurring series is created correctly; I can delete one occurrence or the rest.
- The event blocks website booking (and admin if staff overlap is forbidden).
- My store shows 1 or several staff, with or without rooms.
- Display hours (e.g. 8:00–17:00) and the step (15 / 30 min…) match our needs.
- Staff / category / status colours make the calendar readable.
- I know a green appointment = completed flow, when no category colour applies.
- I can hide cancelled / no-show / declined if needed.
- Optional overlap works in admin but not on the booking website.
- I move / resize an appointment (same staff): confirmation, then choose whether to notify the client.
- “Cancel changes” closes without saving; the original slot is kept.
- A created appointment appears in the right slot / employee (and room if used).
